The International Caspian Society exists to foster goodwill and communication between Members and the dissemination of good practice and ideas in respect to all matters relating to the identification, assessment, preservation, protection and promotion of the Caspian Horse. *More detailed information about the ICS can be found in our Constitution on the Forms page.

The Societies are responsible to their members for horse registrations and other member services. The member societies are also responsible to advise and guide the ICS by means of communication and voting.

Contacting the ICS should be accomplished only through your Society’s ICS Representative, who can bring your requests/concerns to the ICS Officers. Representatives are listed below.

Appendix 1 – ROLE OF ICS OFFICERS and ADMINISTRATIVE SUPPORT STAFF

• An officer elected by the Full Members
• Term of Office is three years. Eligible to extend for three years if re-elected
• Eligible for additional terms of office only after an interim period of two years
• One deliberative vote and a casting vote.

Responsibilities:

• Provide leadership of the Society to achieve the Objects detailed in the Constitution.
• Support other Officers to focus on key tasks
• Appoint administrative support officers to the roles of Secretary and Treasurer
• Oversee the induction and development of other Officers
• Arrange updates and votes for rule changes
• Other tasks as necessary in conjunction with the Vice-chairman including allocation of responsibility to members of Council or support staff for publicity,   promotion, newsletters, stud book publication, website maintenance and liaison with chairman of each committee.

• An officer elected by the Full Members
• Term of Office is three years. Eligible to extend for three years if re-elected
• Eligible for additional terms of office only after interim period of two years
• One voting right

Responsibilities:

• Support and advise the Chairman
• Stand in when the Chairman is not available
• Take the chair during any discussion that involves the Chairman
• Collate replies to discussion topics and report to the Chairman and other officers
• Other tasks as necessary in conjunction with the Chairman including allocation of responsibility to members of Council or support staff for publicity, promotion, newsletters, stud book publication, website maintenance and liaison with chairman of each committee.

• An officer elected by the Full Members
• Term of Office: three years but eligible to extend in terms of three years if re-elected without any interim period.
• One voting right

Responsibilities:

• Make entries of details provided by the registrar of a Full Member into the database or check entries made directly into the database by the registrar of a Full Member.
• Check each entry to ensure it complies with the Rules for Registration of the Society
• Allocate a Society Number
• Amend records in accordance with instruction from a Full Member provided such instruction does not contravene the Rules for Registration of the Society
• Effect change to IT system in conjunction with Technical support personnel and ensuring sufficient funds for any changes to IT system

• Appointed by the Chairman
• Term of Office unlimited until terminated by the Chairman.
• No automatic voting right but such right may be granted by Council

Responsibilities:

• Implement instructions of the Chairman and Council
• Maintain a list of Full Member representatives
• Maintain administration records and provide a copy of all correspondence and records to the Chairman
• Send invoices to each Full Member in accordance with the number of its members and the number of registrations made annually
• Send invoices to each Associate Member for the annual subscription agreed from time to time
• Inform members of the Council of meetings/ballots
• Notify members of the Council and the secretary of each Full Member of the results of meetings or ballots as required

• Appointed by the Chairman
• Term of Office unlimited until terminated by the Chairman.
• No automatic voting right but such right may be granted by Council

Responsibilities:

• Maintain records of incoming and outgoing funds
• Issue cheques and pay-in cheques received
• Liaise with Bank and control banking and payment methods e.g. Paypal
• Perform other tasks as and when agreed between the Treasurer and the Chairman.
